Care agency software that keeps families informed

Merriwood runs the visits, the carers and the paperwork for domiciliary care, supported living and care home staffing, so the office spends the day on care instead of chasing messages.

What it fixes in a care agency

"Did the carer actually turn up?"

A family calls at midday and nobody in the office knows.

With Merriwood clock in only works at the client's address, so you know who arrived and when.

Late visits found out from the family

The first sign of a missed call is an angry phone call.

With Merriwood the office is told 10 minutes after a missed start, and a carer running late can text the client in one tap.

"That's not in the care plan"

Carers are asked to do extra tasks, and arguments follow.

With Merriwood each visit carries the agreed task list, and extra requests are reported to the office.

Door codes in group chats

Key safe numbers and addresses end up on dozens of phones.

With Merriwood code names in every message, and access notes only shown to the booked carers on the day.

Expired papers slipping through

A visa or DBS runs out and nobody notices.

With Merriwood every check has an expiry date and a traffic light, flagged before it runs out.

Families left guessing

Relatives want to know what happened at each visit.

With Merriwood a morning report with arrival times and every task done or not done.

Every visit starts with the right task list

Clients and families tick what they need from grouped checklists, and add their own tasks. Carers answer every task before they clock out.

  • Home care, supported living and care home shifts each have their own list
  • Tasks are grouped, so a visit reads in the order it happens
  • Anything not done is marked with a reason, and shared in the morning report

The way care visits actually run

Morning, lunch and tea time calls

The run sheet groups the day by call, with double handed visits shown as pairs.

Preferred carers

Keep the carers each family is happy with on the booking, with a warning when someone else is sent.

Travel time warnings

Get warned when a carer has too little time to get from one visit to the next.

Clock in at the address

Arrival and leaving times recorded at the door, for every visit.

Problems reported on the spot

No answer at the door, client refused, carer unwell, asked to do something extra. The office hears straight away.

A record you can show

Every visit, task and report is kept, so you can answer a family, a commissioner or an inspector with facts.

Do both? Book both in one visit.

Many families want personal care and domestic cleaning from the same agency. A client can choose care, cleaning or both on one booking, and each part comes with its own checklist.

What Merriwood is not

Merriwood runs your staffing: workers, bookings, visits and reports. It is not a full digital care plan or a medication record system. Many agencies use it alongside the care planning tool they already have.

Questions care agencies ask

What happens when a carer cancels or is off sick?

Take them off the visit and it shows straight away as needing a worker on the live board, the run sheet and the booking. When you put someone else on, you're warned if they're double booked, have too little time to get there, or aren't one of the family's preferred carers.

Will our carers actually use it?

There's no app to download. Carers get a text with a link, sign in once and stay signed in for 30 days. Clocking in is one tap, and each task is one tap.

What if there's no signal at the door?

Clock in uses the phone's location, inside a zone you set from 100 metres to a kilometre. If a phone can't get a location, the carer calls the office and you clock them in from your screen, with the time recorded.

Do timesheets include travel time or mileage?

Timesheets record the time at each visit. The rota warns you when a carer has too little time to get from one visit to the next, and the weekly timesheet PDF has a mileage column to fill in.

Can carers see risks before they go in?

Each booking has notes for the carer, such as risks in the home or equipment, shown in their booking message and on the visit before they clock in. Key safe codes and how to get in are only shown on the day.

Does the office see missed tasks before the family does?

Every task marked as not done has a reason, and it shows on that visit in the office view as soon as it's answered. The family's report goes out at nine the next morning.
